    The purpose of this position is to provide administrative management for the general operations and programs of the Department of Family Medicine's OSHER center and to the Vice Chair of Finance and Administration.

    In addition to meeting the typical administrative and operational needs, this position must be adaptable, flexible, and quickly acquire new skills as the program needs appear. There is an unusual degree of workplace ambiguity due to the early development stage of the Osher Center program so position must have an exceptional ability to adapt to a dynamic environment, strong problem-solving skills, and willingness to learn.

    Position will provide administrative support to the Osher Center director and manager, supporting the Center's growth in UW Medicine.

    DUTIES AND RESPONSIBILITIES Programmatic Support 60%

    • Develop and manage a comprehensive timeline for the annual seminar series, ensuring adherence to deadlines.

    • Support faculty and guest lecturers to deliver integrative health education, maintaining a consistent and high-quality learning experience.

    • Provide support in exploring and integrating technology solutions to enhance educational content delivery.

    • Collaborate in developing and implementing media outreach strategies to increase awareness of educational offerings.

    • Manage creation and use of post-event surveys to gather attendee feedback for continuous improvement.

    • Collaborate in developing marketing materials to enhance the visibility and impact of Center programs. Curriculum Support 20%

    • Oversee all aspects of planning, organization, and execution of the Mind Body Medicine Interprofessional Nonclinical Elective (UCONJ 531). This includes coordinating student recruitment, faculty recruitment, course logistics, classroom management, Canvas setup, student evaluation, and administrative tasks.

    • Plan course schedule in alignment with academic calendar

    • Recruit and coordinate faculty for course instruction

    • Develop and implement strategies for student recruitment and enrollment

    • Manage student registration process, including providing necessary codes and support

    • Coordinate classroom reservations and ensure adequate supplies for course activities

    • Set up and manage Canvas course site, including adding faculty and transferring content

    • Manage student participation in evaluation deadlines and facilitate grade submission process

    • Submit requests for faculty reimbursement funds and handle administrative tasks as needed Event Management 10%

    • Provide comprehensive support for the administrative operations of the Center, encompassing calendaring, event coordination, facilities management, HR functions, IT support, security oversight, resource allocation, and internal and external communications.

    • Oversee on-site event logistics, including set-up, vendor coordination, and efficient troubleshooting during events.

    • Act as a point of contact for speakers, attendees, and other stakeholders.

    • Assist in identifying and liaising with vendors to secure services, negotiating contracts effectively. General Administrative Support 10%

    • Serve as the general contact for the UW Osher Center, respond to inquiries and provide information and direction on UW Osher Center activities and events.

    • Assist in efficiently managing the Director's calendar, schedules meetings and events.

    • Provide assistance to faculty across operational areas, adapting to evolving needs and priorities.

    • Undertake additional tasks as assigned, demonstrating flexibility and adaptability to support the Center's evolving needs. MINIMUM REQUIREMENTS

    • Requires High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience. CONDITIONS OF EMPLOYMENT
