    This position will be responsible for program management and academic advising in the Engineering Dean Scholars program (EDS). The EDS Program Manager provides advising, programs, and services to support first-year EDS students who clarify their academic interests and goals and prepare for entry into majors. A specific focus of this role is advising the Engineering Dean's Scholars cohorts.

    This position is responsible for the advising and retention initiatives and activities for The Engineering Dean's Scholars program. The EDS program is a College of Engineering access and retention program targeting students from economically and educationally underserved backgrounds. Students enter the program as freshmen and remain active program participants through their first year and then to a lesser extent in their second year. The incumbent will collaborate with the PIE manager and actively engage in the development and delivery of retention programming and interventions, the primary responsibility will be proactive individual advising, counseling, and success coaching, promoting the well-being of approximately 40 to 50 students per year; EDS uses a cohort model. The incumbent carefully monitors students' academic performance and develops and applies intervention strategies to assist in removing obstacles for students from admission through completion of the engineering math and science prerequisites (typically 2-3 years) to ensure their progression and success. The incumbent must be passionate about responding quickly and consistently to individual student, group and institutional retention and success needs and will consistently seek to learn, develop, and improve targeted intervention strategies for individual students as well as the overall EDS program.

    One of the most complex components of this position will be assisting students in becoming highly self-regulated and self-motivated learners, counseling, and motivating students towards quickly and consistently identifying and addressing obstacles to success. Most EDS students deal with multiple barriers to success and so the position requires having or developing a strong knowledge base and understanding of and commitment to student development, student success philosophy and learning skills pedagogy. The position requires the ability and willingness to consistently address issues immediately and directly with individual students as well as the group. This includes working closely with faculty, instructors, TAs, staff, and tutors to quickly identify and proactively address barriers to success. Teaching/facilitating effectively learning how to learn, excellent study skills development, and extensive time management skills components of the EDS seminars is another complex component of the position.

    Additionally, the incumbent will collaborate with a wide range of staff in the relevant academic units as well as staff from other recruitment and student support offices, particularly Engineering Department Advisors, the Office of Minority Affairs and Diversity, the CoE Career Center, and the UW Counseling Center.

    The EDS program is a cohort-based program, with 40-50 students per cohort. The incumbent will collaborate on, coordinate, and teach/facilitate the EDS year-long seminar (primary focus is on learning and study skills, personal, and career and professional development). Incumbent will actively work with the PIE manager in the PIE admissions process, as well as lead/assume full responsibility for the planning, coordinating and implementation of the EDS advising and orientation sessions and the collaboration portions as well as the EDS portions summer Bridge Program

    DUTIES AND RESPONSIBILITIES Counseling/Advising/Success Coaching: (50%)

    • Serve as the assigned academic adviser for the entire cohort of around 50 Engineering Dean's Scholars students who are conditionally admitted to the College of Engineering. Provide quarterly required developmental one-on-one advising appointments that address the unique/specific needs of students who may be further from educational justice.

    • Maintain frequent communication with each Engineering Dean's Scholar through meetings, calls, and/or emails. Produce notes in MyENGRUD and follow up materials as needed for each appointment and serve as both an advocate and central connector for students.

    • Track engagement of Engineering Dean's Scholars with the Engineering Advising Office and completion of required quarterly appointments with the Office of Minority Affairs & Diversity.

    • Schedule/coordinate/lead quarterly advising cluster meetings with OMA&D assigned advisers to discuss individual Engineering Dean's Scholars' progress/concerns.

    • Support the continual improvement of the Engineering Dean's Scholars program by sharing any identified gaps and suggesting approaches/program components to Assistant Director for Academic Inclusion and Community Relations.

    • Utilizes a comprehensive and holistic approach to engaging in intrusive, proactive developmental academic, professional, and personal counseling/advising/coaching. Quickly and consistently identify success barriers and immediately address issues.

    • Ability to practice patience and perseverance in pursuing the root causes for a student or group having difficulty succeeding from recognizing the issue to creating and initiating plans to correct.

    • Highly proactive and consistent in assisting students in setting realistic and achievable goals.

    • Maintains excellent relationships with PIE instructors, TAs, and tutors to carefully monitor individual and group grades, issues and progress and is extremely proactive in taking action to address problems.

    • Makes referrals for students who need assistance with overcoming learning obstacles, specialized tutoring, or other extended or intensive assistance.

    • Effectively guides students in transitioning from high school to college and navigating the UW campus.

    • Regularly facilitates resolution of personal issues affecting academic progress or behavior of students.

    • Maintains an open-door policy and ongoing communication with students; strongly encourages students to seek out assistance when needed.

    • Creates a sense of community, with detailed attention to building and promoting a sense of belonging and inclusivity and creating a welcoming learning environment for all students. This includes being adept at facilitating difficult conversations when required as part of community-building and creating an inclusive environment.

    • Engages student participation in planning and implementing community-building events.

    • Facilitates students' academic progress by evaluating their PIE curriculum needs and developing appropriate educational plans.

    • Evaluates individual student progress on an ongoing basis and regularly adjusts strategies and offerings accordingly.

    • Stays current on best practices and innovative approaches for student persistence and retention.

    • Work collaboratively with and serves as liaison between PIE manager, outreach, retention, and other direct student support services on campus; maintains positive internal and external relationships (critically works closely with CoE department advisors to keep them informed about individual students and program changes and assists student transition to departments).

    • Collect and maintain data on program activities; gathers, compiles, and organizes student grades and progress; maintains accurate records which may be used for written and statistical reports.

    • Interprets, stays informed and accurately explains university and CoE academic policies and procedures, PIE policies and FERPA (especially in reference to working with parents) and STARS

    • Contract and Handbook (keeps Contract & Handbook up to date).PIE Collaboration (25%)

    • In partnership with the PIE Manager, completes annual planning for EDS in alignment with PIE's overall goals.

    • Participates in the PIE Steering Committee and PIE Operations groups. Contributes to the creation of PIE policies, objectives, and products.

    • Participates in the PIE Instructional Leadership Team. Contributes to the creation of course offerings, syllabi, desired outcomes, and instructional policies. Ensures EDS students have access to workshops needed in line with their graduation plans.

    • Meets regularly with the PIE Manager to ensure program alignment, discuss questions, and resolve issues.

    • Participates in the annual PIE admissions and student selection process. Reads student information and assesses which PIE program is best suited to support the needs of each effectively admitted PIE student.

    • Consults with the PIE Manager on changes to:- Program structure.- Curriculum, including workshops, seminars, and courses.- Staffing levels and structure.- Policies related to students.- Policies related to program operations.- Departmental placement policy and process.- Any other topic that would require changes to the catalog or 1503; or would constitute a material change to the program.Program Management (25%)

    • Create and implement the EDS 5-year strategic plan with operational and tactical steps and outcome matrices.

    • Layout annual EDS goals, outcome measurements and annual impact report.

    • Collaborate with OAA to manage EDS scholarship distribution and tracking.

    • Oversee the allocated EDS budget and work collaboratively with COE budget analysis and PIE

    • Manager to remain within budget and funding guidelines.

    • Regularly assesses and evaluates the program and individual components for effectiveness and alignment with objectives. Creates refinements, alternatives, or improvements to current practices to support student success.

    • Obtains and maintains knowledge of best practices in working with the PIE population of students, student retention, holistic advising, and student development. Ensures best practices are embedded into EDS practice and policy.

    • Reviews all program, evaluation, and student feedback data on a regular basis, utilizes data effectively to make informed decisions.

    • Works across campus and externally with various partners, stakeholders, similar operational units, and diversity spaces. Represents EDS or PIE as needed. Collaborates to learn best practices and existing services and initiatives.

    • Oversee the development of EDS seminars and other course curricula to ensure alignment with EDS and PIE objectives.

    • Creates, maintains, implements, and communicates EDS operational policies and procedures. Ensures that program-level documents and decisions are in line with broader PIE, CoE, and UW guidelines. Ensures that necessary documentation is filed with and approved by the University.

    • Responsibilities include regular in-office business hours (8AM - 5PM) as well requiring evenings and weekends MINIMUM REQUIREMENTS

    • Master's degree in Education, Social Sciences, Human Services, Engineering, or related field with a preference for student personnel, student affairs, higher education, educational psychology, counseling, or related area or four years of relevant experience/education

    • Minimum 2 years of college advising experience.

    • Minimum 2 years of experience in higher education, preferably with STEM students and at a large research institution. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS

    • 1-2 years of experience with proactive, inclusive advising

    • Experience working with STEM students in a higher education setting.

    • Experience with strategic planning and impact reporting

    • Knowledge of the University of Washington academic procedures, policies, and administrative systems.
